Why you can trust TechRadar
Every organization needs software to help manage documents. Companies generate massive volumes of documents, which need to be stored and organized neatly. Otherwise, record-keeping becomes a mess, and employees find it difficult to work.
Enter ClickUp, a versatile platform for document management and other features. This tool makes it easy for enterprises to store, organize, and edit documents. It also offers collaborative tools to facilitate seamless communication within the workplace.
We’re reviewing ClickUp to help you decide if it’s a platform worth adopting. We’ll rate it based on vital criteria, including pricing, features, ease of use, customer support, etc.
ClickUp: Plans and pricing
ClickUp offers a free plan, albeit with limited features. The free plan only allows 100 MB of document storage, which is limited for most companies. A handful of files can quickly eat up that storage, meaning the free plan isn’t ideal if you want to enjoy ClickUp’s versatile features.
ClickUp offers three pricing plans for organizations: Unlimited, Business, and Enterprise. The Unlimited plan costs $7 per user per month. It provides unlimited storage, integrations, dashboards, custom fields, and more. However, this plan's folders and lists are limited to 200.
The Business plan costs $12 per user monthly. It unlocks access to more advanced features like time tracking, public sharing, automation, custom exporting, and single sign-on (SSO). This plan increases the number of folders and lists to 400.
The Enterprise plan has no standard pricing; you’ll need to contact ClickUp’s sales team for a quote. This plan includes advanced features like live onboarding training, an enterprise API, white labelling, advanced permissions, and universal search.
ClickUp also offers an optional AI assistant that costs $5 monthly per user. This AI tool assists in writing, document summarization, and other mundane tasks.
There’s no free trial for ClickUp’s paid plans, although you can test the platform with the free version. If you’re unsatisfied after subscribing, you can request a full refund from ClickUp within 30 days of initial purchase.
ClickUp: Features
ClickHub is a versatile platform with many advanced features, including:
Storage
You can store as many documents as you wish if you’re on the paid plan. ClickUp offers unlimited storage, unlike many document management tools with capped storage plans. You can keep documents and retrieve them from any location at any time. For instance, you can upload a document from your personal device, head to the office, and open that same document on a work PC, continuing from where you stopped.
The main idea of a document management platform is to store and retrieve your documents whenever you want.
Documents
ClickUp doesn’t just let you upload documents from your device. You can create documents right from your ClickUp account. The platform offers an intuitive text editor to create documents, e.g., contracts, memos, invoices, etc.
Users can categorize and store documents for easy access. For instance, you can categorize a group of documents as “Personal” and another as “Shared.” When you want to access your personal documents, you simply click on the category instead of trying to sift through the names to know which ones are personal and which are shared.
ClickUp fosters collaboration, so you can share your documents securely with other users. You can also share it with non-ClickUp users, and they’ll sign in with guest accounts to view or edit your document, depending on the permission you grant them. You can create shareable links to your document and control what others can do with it.
A good thing about ClickUp is that it comes loaded with pre-made templates designed by professionals. Hence, you don’t need to struggle to create certain documents from scratch; you can simply choose an existing template and edit it to fit your tastes.
ClickUp provides tools to add functionality and style to your documents. You can add banners, headers, attachments, dividers, code blocks, widgets, and more.
Task management
ClickUp also functions as a task management tool. You can use it to create and manage workplace tasks, assigning tasks to different employees with specified deadlines. Anyone you assign a task gets a notification, and you’ll get feedback when they complete it.
If a task assignee has questions, they can indicate them in the comments section, and you can reply with answers. To make things better, you can link documents to tasks to provide context.
You can create multiple subtasks under a task. With ClickUp, you can easily navigate to any task or subtask under your purview. This platform also includes a time tracker for assignees to indicate how long they spent on each task. You can create checklists within tasks to track workflows.
Whiteboards
ClickUp provides digital whiteboards for enterprise collaboration. This digital whiteboard functions just like a physical one. Anyone can write notes or draw diagrams on it to brainstorm with colleagues; you can also link notes to files and documents you’ve previously created on ClickUp. If another colleague has a suggestion, they can indicate it on the whiteboard. Participants can monitor each other’s whiteboard activity and exchange ideas in real-time.
ClickUp offers an innovative feature that lets you create tasks directly from a whiteboard element. Let’s say an employee scribbles a note suggesting what should be done to increase sales; the team lead can immediately convert the note into a task and assign it to the relevant person.
Security
Security is crucial to every document management and enterprise collaboration platform, and ClickUp performs well in this criteria.
To start, users can enable two-factor authentication on their accounts, requiring at least two modes of identification before granting access. The first mode is the correct credentials (username and password), and the second is an SMS code sent to your phone number. This way, a malicious actor can’t gain access to your account even if they somehow get your password. As an administrator, you can make two-factor authentication compulsory for all ClickUp accounts tied to your company.
All communication between your device and ClickHub is encrypted via the Transport Layer Security (TLS) protocol, preventing third parties from intercepting sensitive information.
White-Label
Users on the Enterprise plan can white-label the ClickUp platform by replacing ClickUp’s default logos and colors with your company’s own logos and colors. White-labelled software looks more professional and appealing to users. We like that ClickUp is very customizable, unlike many rival tools you can hardly tweak.
Chat
ClickUp provides a real-time chat tool for colleagues to communicate seamlessly. It functions like any instant messenger you’re used to. You can send messages to colleagues, and they’ll get notifications and reply. ClickUp supports one-on-one or group chats.
ClickUp: Interface and In Use
One of the highlights of ClickUp is its user-friendly interface. It has a responsive, visually appealing look we enjoyed when testing the platform. Things feel smooth for users, and it’s very easy to find just what you want. You can access ClickUp from your web browser or download the Android or iOS mobile app.
ClickUp: Customer Support
ClickUp provides extensive support resources to customers. If you’re having issues with the platform, the first place to consult is the Help Center, which contains user manuals and guides covering all ClickUp features. ClickUp also provides webinars, live training, and various other support resources.
If you don’t find what you want in the Help Center, you can contact ClickUp’s team via email and live chat.
ClickUp: The competition
There’s no shortage of competitors in task and document management software. Two notable ClickUp rivals are Notion and Trello.
Trello is an excellent task management tool for enterprises known for its simplicity and user-friendly interface. However, its features center around task management, while ClickUp is a more versatile tool with many features.
Notion is a versatile tool rivaling ClickUp in many areas. It supports everything from task and document management to real-time collaboration. It’s an excellent, relatively affordable ClickUp alternative.
ClickUp: Final verdict
ClickUp is a versatile platform that enables a smooth organizational workflow. It makes it easy to track projects, assign and monitor tasks, store and organize documents, and communicate seamlessly within a team. To make things better, ClickUp has a stellar user interface you’ll likely enjoy using.
The main drawbacks we observed are a steep learning curve to get used to ClickUp’s many features and the initial setup being a bit complicated for the average user.
